Department Summary

The Office for Research and Innovation, oversees the research activities of the University of Oregon (UO). The UO is a major public research university with grant awards exceeding $120 million and sponsor supported expenditures reaching $125 million annually. Research and Development expenditures support hundreds of active UO research, instruction, and community service projects. Principal recipients of these funds include more than 20 centers, institutes and research core facilities that report to the Vice President for Research and Innovation. The Office of Research and Innovation provides comprehensive administrative support for sponsored programs, including identification of funding opportunities, proposals submission, human and animal subject’s approvals, and contracts/grant administration, as well as the translation of basic research into commercial products or services.

Position Summary

The Administrative Assistant will provide general administrative functions including, reception, scheduling, calendar support, space coordination, and general office coordination duties.

The Administrative Assistant is the primary reception for Research and Innovation Services, located on the 5th floor of the PeaceHealth North building. The position involves basic accounting functions such as travel coordination and reimbursements, report creation and compilation regarding facility expenses, and office supply inventory/ordering.

The Administrative Assistant will interact directly and regularly with faculty, guests, students, program directors, operations management, and external constituents regarding scheduling and space coordination. This position will routinely work with staff, administrators, and management at the University of Oregon. The person in this position must interpret and apply UO policy and exercise independent judgment, discretion and confidentiality. This position will report to the Human Resources Administrator.

In addition to the above duties, this position will provide primary support for Research Development Services (RDS), which will include, but is not limited to, coordinating meetings, maintaining records, routing correspondence, assisting staff with travel and other administrative duties as assigned. Members of the RDS team approach their work with a high level of professionalism and a customer service orientation.

Minimum Requirements

• Two years of general clerical experience. One year of which included typing, word processing, or other experience generating documents; OR

• An Associate's degree in Office Occupations or Office Technology; OR

• Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

• Ability to manage diverse responsibilities and multiple tasks

Preferred Qualifications

• Familiarity with Microsoft Office and other software programs including: Word, Excel, PowerPoint, Adobe Acrobat, and HRIS/FIS platforms – specifically Banner

• Scheduling experience and a high level of proficiency using Microsoft Outlook for both email and calendar coordination

• Experience with event planning and coordination

• Experience coordinating with facilities and maintenance departments
