Description

As our Conference Services Coordinator, you will help coordinate hospitality, front desk and event support services for WHQ Meetings and Events attendees, clients and event planners at the TWC, Hayward, Victory and extended Nike Campus event locations with an emphasis on providing superior customer service.

You will review, organize and update WHQ M&E Event Orders, Daily Activity Sheets and Event Calendars via Event Business Management System (EBMS) to produce daily event activity reports and department work orders. Responsibilities include, identifying and fulfilling Conference Services work order requests and entering data for final event charge backs into EBMS. You will act as the key contact and resource for vendors, contractors and clients when event planners are not available or during extended building hours. You will provide event team support in relation to room sets, catering and tech to ensure Event Order details are executed to the highest standards. This role also includes, processing and fulfilling NIKE Comp orders, purchasing event specific materials for meetings and events, creating and maintaining event specific collateral materials and campus event signage, tracking department invoice charges, ordering event items through Coupa and arranging dine around reservations and food truck services for small and large scale meetings and events. This opportunity also involves facilitating Nike’s Corporate Gift program by creating, maintaining and fulfilling Corporate Gift orders while partnering with Nike’s approved vendors. In collaboration with the Conference Services Manger, the Conference Services Coordinator will be responsible for all front of house operations for Stanford Theater events including usher assistance, ticket distribution, food and beverage retrieval and distribution of collateral materials and product.

In this position, you will communicate and follow through to ensure Conference Services practices and policies are followed to ensure the highest standard of service is provided and act as our “front line” security presence in alignment with Nike principles and ensure visitors and guests Keep it Tight to maintain the integrity of the brand.

Qualifications

Requirements:

  • Bachelor's degree in events/hospitality or related field and/or atleast 2 years' of event experience in a Hotel or Convention/Conference Centeris preferred.

  • Ability to work a flexible scheduledriven by event business needs which may include evenings, weekends andoccasional holidays.

  • Ability to network and utilize internal and external resources.

  • Superior interpersonal and customer service skills.

  • Microsoft Office is required. Meeting management software(EBMS-Event Business Management, Lenos) preferred.

  • Ableto lift 20-30 lbs with or without reasonable accomodation
