Kaiser Permanente Account Team Specialist I- Small Business Group in Portland, Oregon

This position will be approximately 18 months in duration

The Account Team Specialist is responsible for performing all administrative duties that support the sales team, as specified by the department's standard office routine, practices and procedures, or instructions. Provide clerical support for the sales and account management team. Maintain databases, information systems and process requirements for the sales and account management team. Serve as sales and account management liaison between the Customer Account Team and other internal departments.

Essential Functions: - Provide clerical support for the sales and account management team. Respond to incoming phone calls and email inquiries from various channels and route appropriately. Screen and route calls appropriately. Provide inquiry resolution. - Schedule meetings and maintain calendars as requested. Arrange conference rooms, conference calls, and other meeting events. Distribute meeting agendas and materials in advance of meeting. Anticipate need for and ensure team has necessary documents for meetings and presentations. - Coordinate all administrative and logistical arrangements for team. Review and appropriately distribute department mail. Independently handle travel arrangements. Arrange for all audio-visual and teleconferencing equipment. Track and compile expense receipts and prepares monthly expense reports. Process purchase orders and invoice requests. Order office supplies. Photocopy, fax and file as needed. - Prepares and formats multiple interoffice communications (email), letters, reports, and confidential documents. Screens email and prepare appropriate basic correspondence on behalf of account managers and sales executives. Draft standard/recurring correspondence for account manager and sales executive approval. Prepare meeting agendas and distribute to participants. - Maintain databases, information systems and process requirements for the sales and account management team. Establish and maintain databases specific to the sales and account management team. Complete data entry as specified by team. Format and produce standard reports. - Perform system activities in relation to packet orders, contract changes and other activities not supported by the Customer Account Team. Track, monitor and reconcile data, collaborating with other department staff. Follow up on action items to meet deadlines. - Serve as sales and account management liaison between the Customer Account Team and other internal departments. Effectively communicate to all levels of management, peers, and purchasers. Regularly meet with team to discuss and keep manager apprised of important issues and/or business matters. Interact on a regular basis with team as well as internal and external clients on various department matters. - Communicate critical issues between Customer Account Team & sales and account management team. Provide report parameters to Customer Account Team for ad hoc and standard reports. Assess urgency of situation and determine and execute appropriate course of action. Act as intermediary for account manager and Customer Account Team and other departments to ensure timely resolution of issues. - Work with all KP departments to achieve a high level of customer satisfaction. Provide excellent customer service to all internal and external callers and/or purchasers. Identify opportunities for process and communication improvements among departments.

Qualifications: Basic Qualifications: Experience - Minimum one (1) year of administrative experience, preferably in sales and marketing. Education - High School Diploma or General Education Development (GED) required. License, Certification, Registration - Oregon/Washington Health insurance license or ability to be licensed within three (3) months of hire.

Additional Requirements: - Strong customer service skills required.

Preferred Qualifications: - Business school/college level course work preferred.
