Planned Parenthood Columbia Willamette (PPCW) is seeking a full-time Human Resources Assistant!

Planned Parenthood Columbia Willamette (PPCW) is committed to providing, promoting, and protecting access to sexual and reproductive healthcare in Oregon and Southwest Washington. Since 1963, PPCW has provided a broad range of sexual and reproductive health care, including family planning,preventative care, and other medical services; trained and educated community members on issues of sexuality; and advocated for the protection of reproductive rights and freedom in Oregon and Southwest Washington. Each year, more than 58,000 women, men and teens visit a PPCW health center, located in NE and SE Portland, Milwaukie, Beaverton, Salem, and Bend, Oregon; and Vancouver, Washington.

Position Summary: The Human Resources (HR) Assistant will provide assistance and support a full range of HR services including, but not limited to; recruitment, on-boarding, recordkeeping, HRIS data entry, and other duties as assigned. The HR Assistant is the first point of contact for job applicants, and employees with general HR or employment related questions. The HR Assistant will ensure timely and accurate completion of assignments and provide excellent customer service. This position works under immediate supervision and relies on instructions and pre-established guidelines to perform the functions of the job.

This is a full-time (37.5 hours a week) position, M-F.

Minimum Qualifications:

Education/Experience Required:

  • Bachelor’s degree plus two (2) years administrative assistant experience, preferably performing HR related duties, OR

  • AA degree plus three (3) years administrative assistant experience, preferably performing HR related duties, OR

  • A high school diploma/GED plus four (4) years administrative assistant experience, preferably performing HR related duties, OR

  • Any similar combination of education and experience.

  • Must be able to work flexible hours, including evening and weekends on occasion to meet business needs.

Essential Functions:

Recruitment and On-boarding:

  • Participate in recruitment for personnel, which includes, but is not limited to: internal notification and external posting of positions; job fair attendance and other networking as needed to assist in recruitment; and resume review and forwarding to hiring manager.

  • Coordinate administration of supplemental screening questions, pre-employment tests, and pre-hire paperwork as needed.

  • Provide new hires with applicable documents, which includes background check links and information prior to start date.

  • Prepare new employee files.

  • Assist with the on-boarding process by preparing materials for start date, writing offer letters from templates, and obtaining appropriate signatures on documents prior to start date. Ensure all required employment documents are received and signed.

  • Work closely with 3rd party to ensure all credentialing paperwork for licensed staff is received and filed appropriately, as needed.

  • Maintain recruitment files and archive in accordance with applicable laws and/or policies.

  • Provide weekly report on recruitment status to senior leadership.

HR Records and Benefits:

  • Update and maintain employee data including performance reviews and health clearances in Human Resource Information System (HRIS).

  • Run monthly and ad hoc reports from HRIS.

  • Prepare and maintain employee files for current and terminated employees, while ensuring accuracy, compliance and confidentiality; includes archiving records in accordance with the law and PPFA policy.

  • Answer general HR and benefit related questions, as needed.

Other:

  • Screen and forward HR related calls and mail.

  • Send weekly and monthly newsletter reports to Marketing.Maintain PPCW Jobs email account. Respond to emails and forward when appropriate.

  • Assist with ensuring federal and state required employment postings are updated annually and kept current at all facilities.Respond to Verification of Employment (VOE) requests as needed.

  • Assist with HR volunteers.

  • May be requested to cover Front Desk breaks, lunches, and staff meetings as needed.

  • Maintain organizational charts and intranet-based employee directory.

  • Prepare and/or order materials for various HR programs and accreditation.

  • Participate in and take minutes at staff meetings, as needed. May be requested to take notes on management behalf during confidential, investigatory and/or disciplinary meetings and during union related business.

  • Ability to understand, relates, and cross-reference information from Collective Bargaining Agreement (CBA) and employee handbook.

  • May also provide administrative support to Compliance Training and Volunteer Services.

  • Perform other related duties as required and assigned.
