PacificSource Health Plans Administrative Assistant – Medicaid Administration in Bend, Oregon

Overview

Provide high-level professional administrative and clerical support to the VP of Medicaid Programs and the Medicaid Administration team. In particular, provide essential support to the Medicaid community governance model and support PacificSource in working with the Health Councils. This includes creating documents, presentations, charts, spreadsheets, and analytic reports; creating agendas and minutes and proofreading public materials; prioritizing and scheduling meetings, particularly those with internal and external stakeholders, and coordinating travel and other logistics; supporting mandatory community forums; and updating and maintaining various files. Coordinates and facilitates cross-functional communication, assistance with projects, and workload demands. Independently composes routine documents such as memos, e-mails, meeting minutes, and reports using knowledge of content, style, and format.

Responsibilities

  • Complete wide variety of high level administrative duties for the Medicaid Administration team. Provide wide variety of confidential administrative services.

  • Assist with administrative duties and coordinate activities with regional Health Councils.

  • Manage and coordinate calendars and meeting preparation, including scheduling meetings, conference rooms, hospitality and equipment arrangements, and ensuring meeting materials are received. Create and type agendas, take and type minutes of various meetings and committees.

  • Create, format, update, and maintain letters, reports, and other documentation. Answer phone calls, respond to routine questions, screen calls, take accurate messages and re-route calls when appropriate. Process and distribute incoming and outgoing mail.

  • Organize, establish, and maintain record-keeping systems for correspondence, documents, materials, or consistent with legal and retention guidelines.

  • Design presentation materials, develop charts and graphs, and verify statistical information. Create and maintain spreadsheets for managing metrics and other data.

  • Make arrangements for off-site sessions, teleconferencing, retreats, and conference calls. Responsible for travel arrangements (including hotel, airline, and car rental with preferred vendors) and processing expense reports.

  • Manage check request and contract review processes from start to finish.

  • Assist with projects as requested that are within the scope of the position.

Supporting Responsibilities:

  • Meet department and company performance and attendance expectations.

  • Follow the PacificSource privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.

  • Perform other duties as assigned.

Qualifications

Work Experience:Minimum of 3 years of experience as an administrative assistant. Previous experience in health insurance is preferred.

Education, Certificates, Licenses: High school diploma or equivalent required. Associates degree preferred.

Knowledge:Excellent verbal and written communication skills involving advanced telephone and interpersonal skills, grammar, punctuation, spelling, composition, and proofreading are required. Requires administrative and computer prowess, including: proficiency with Microsoft Outlook, Word, Excel, and PowerPoint; handling multiple calls and other priorities in a professional manner; and the ability to format and produce documents according to business writing and departmental standards. Understanding of business practice, maintaining confidentiality, and the security of information are vital. Requires superior organizational and multi-tasking skills to lead projects, maintain department files, and accomplish tasks under pressure. In addition, the position requires a high degree of adaptability to address sudden changes and to determine shifting and competing priorities. Ability to work autonomously and as a collaborative member of a team. Take initiative to improve processes and implement solutions.

Environment:Work inside in a general office setting with ergonomically configured equipment. Travel is required approximately 5% of the time.

Physical Requirements:Sit and/or stand for extended periods of time while performing core job functions. Repetitive motions to include typing, sorting and filing. Light lifting and carrying of files and business materials. Ability to read and comprehend both written and spoken English. Communicate clearly and effectively.
