Position Description – Energy Practice Proposal Senior Coordinator We have an immediate opening in our Energy Practice for a Senior Coordinator to provide proposal development support to subject matter experts in in the preparation of complex proposals and presentations. This position will manage responses to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), Requests for Information (RFIs), sole sourced engagements, and Best in Final presentations as requested. Successful candidate must be able to thrive in a fast-paced, dynamic environment and demonstrate the ability to prioritize and multi-task a variety of demanding assignments without a degradation of work quality. In addition to working with proposal leads on proposal efforts, this position calls for collaborative professional with a positive strategic outlook, excellent communication, writing, editing and project management skills. The preferred candidate is comfortable in a deadline driven environment.

Core Responsibilities:

  • Position reports to Sr. Manager and will work with the Directors and Managing Directors across the practice to support multiple, concurrent proposal submissions

  • Position will lead and manage proposal development to ensure clarity and compliance of all proposal documents. This role serves as a key liaison coordinating all internal work streams to track and review all proposal content and oversee submission of the final proposal.

  • Creates proposal response template and manages online procurement forms and submittals

  • Develops responsibility matrix for proposal team

  • Help develop and communicate win themes, strategies and creative design approaches

  • Work closely with sales leads and operational subject matter experts as contributors and/or reviewers

  • Support the preparation of other deliverables related to the opportunity such as presentations and follow-up requests

  • Coordinates with the legal, IT, and other Navigant operations teams to ensure vendor required forms are completed and other non-technical information and documents are received (insurance, tax documents, sustainability, equal opportunity, cyber security) and terms and conditions are reviewed

  • Develops list of technical and nontechnical questions for submittal to RFP issuer prior to cutoff date

  • Facilitates leadership review of high-value or strategic pursuits

  • If applicable, monitors online bid site for addendums, answers to submitted questions, and updated information in general

  • Review and development of all non-technical requirements for inclusion in the response

  • Coordinates with SMEs to ensure technical content is provided for assigned sections and supports the development of graphics, as needed

  • Adherence to schedule to ensure adequate time for review, assembly, and delivery

  • Assembly of relevant qualifications for proposal, including technical / client qualifications, staff biographies, and work references (including confirmation of permission to use reference)

  • Provide final editing and formatting to ensure high-quality submittal

  • Responsible for final submittal completion, quality and content archiving

  • Provide input and updates to the Energy Practice Content Management System (SharePoint), including but not limited to final proposals and updated project summaries and qualifications

  • Position supports editing and formatting of client deliverables and presentations as time permits and works with editors on ad hoc project needs

  • Supports new content development efforts and team and firm initiatives as needed

  • Continuous improvement in the Energy Practice proposal response coordination, including updating materials to best showcase Navigant’s capabilities

Skills and Core Capabilities:

  • Demonstrated ability to review, understand, and summarize the requirements for RFPs, RFIs, and RFQs

  • Ability to coordinate the development of multiple proposals simultaneously

  • Strong organizational and time management skills, multi-tasking abilities

  • Excellent verbal and written communication skills, including high grammatical proficiency. Additional copy-editing training will be provided as needed and to ensure consistency with internal style guides

  • Excellent customer service with individuals at all levels both internal and external

  • Effective presentation skills

  • Teaming with key stakeholders across the firm to develop winning proposals

  • Ability to translate complex concepts and ideas into clear communications

  • Able to work effectively with remote team members

  • Strong organizational skills, detail-oriented

  • Able to work well and thrive under pressure

  • Bachelor’s degree in marketing, business communications, or equivalent is required.

  • Prior experience in the professional services industry preferred

  • Experience with online procurement sites such as Power Advocate and Ariba

  • Minimum of four years’ experience in proposal management

  • Energy (electric utility, oil and gas) industry knowledge a plus

  • Advanced proficiency with Microsoft Word and PowerPoint; basic working knowledge of Excel

  • Communicate frequently with co-workers as well as with managers to discern their needs, and be able to express themselves

  • Work as a member of a team as well as be a self-motivator with ability to work independently

  • Constantly operates a computer and other office equipment to coordinate work

  • Usually remains stationary for the majority of the day

  • Frequently communicates with clients and coworkers and must be able to share information effectively

  • Generally works in an office environment
