The Office Coordinator position is responsible for overall office activities, including events management, supply orders and day-to-day facility maintenance. Tasks include, but are not limited to, monitoring/ordering office supplies, scheduling meetings, appointments, and travel and acting as 'utility player' for additional various projects as requested.

Essential Functions

  • Acts as backup to the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image.

  • Primary lead for office maintenance, including supply ordering and stocking.

  • Coordinates/assists with all firm meals and events – both internal and external.

  • Scheduling, travel planning and meeting prep as needed.

  • Acts as firm liaison for special department projects.

  • While performing the duties of this job, the employee is regularly required to talk or hear.

  • The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.

  • This position requires the ability to occasionally lift office products and supplies, up to 40 pounds.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, scanners, and fax machines.

Position Type/Expected Hours of Work

This is a full-time position, and hours of work and days are Monday through Friday, 8:00 a.m. to 5 p.m.

Requirements and Qualifications

  • High school diploma or equivalent required.

  • Associate degree in office administration, management or related field preferred.

  • 2+ years working in office admin or hospitality management preferred.

  • Computer literate and proficient using Microsoft Suite.

  • Experience in customer service and in a fast-paced environment.

  • Excellent communication and interpersonal skills.

  • Organized with the ability to prioritize and multi-task.
