Lifeways is currently seeking a Full-time Management Assistant to provide services for our inpatient recovery center in Ontario, OR. SUMMARY: The Management Assistant will ensure that the activities of this position and relevant programs are consistent with the mission, vision, and values of Lifeways, Inc. Under general direction, provides staff assistance on difficult and complex projects and programs pertaining to administrative, organizational, operations and budgeting considerations. Performs related work as required. This position's primary responsibility is to respond to all incoming calls, screen all referrals for potential placement, guide all clients through the admissions process, ensuring preauthorization and utilization review as necessary, report all related data for daily census, tracking and trending procedures, complete all related paperwork, communicate effectively and efficiently, and provide the best quality customer service. This position requires the ability to work independently, exercising good judgment and initiative while performing the following job duties. ESSENTIAL DUTIES AND RESPONSIBLIITIES: Include some or all the following. Other duties may be assigned. - Effectively manage and route all incoming calls. - Utilize best practice communication and client interviewing skills to obtain comprehensive pre-screening information for all new and/or returning clients seeking services. - Manage the intake telephone, wait list, and placement of clients. - Timely input of all inquiries received, including on-going clear and accurate documentation throughout the screening and intake process. - Initiate insurance verification and pre-authorization. - Communicate closely with the billing department regarding changes of insurance eligibility and authorization for services. - Accurately maintain list of open bed status and wait list. Communicate updates as required. - Reporting of daily census. - Complete all paperwork clearly, and concisely, and in-line with policy and procedures. - Must have working knowledge and utilization of community resources. - Coordinates with Charge RA's for specialized assignments. - Provide excellent customer service and cultivation of quality relations with referral sources. - Act as a collaborative team member with other agency departments, along with community partners. - Ability to work with diverse population and community organizations as well as staff at all levels. - Assist with transportation needs if necessary. - Consult with Supervisor and other clinical and medical staff as needed. - Coordinate with RN for medication training and delegations. - Assist with inventory control and ordering of facility supplies. - Manages incoming and outgoing mail. - Conducts all new employee orientation and scheduling for shadowing to learn on the job duties and expectations. - Attend and participate in meetings as
