Title: Administrative Assistant Department: Engineering & Maintenance Location: Portland, OR Hours: Full Time (1.0 FTE) Schedule: Monday-Friday, Must be able to work variable hours to provide continuous departmental coverage Job Summary: Shriners Hospitals for Children - Portland is seeking a full-time Administrative Assistant to join our Engineering & Maintenance team! The Administrative Assistant provides customer support for the Engineering & Maintenance, Information Services, Bio-Medical Services, Security and Environmental Services departments. This position is responsible for monitoring all incoming telephone calls, transferring telephone calls, paging hospital staff, providing access control through remote monitoring of parking gates and/or door controllers, and serving as Help Desk coordinator. Responsibilities: 'Provides administrative support to the Engineering & Maintenance, Information Services, Bio-Medical Services, Security and Environmental Services departments 'Manages a high volume of calls through a switchboard, promptly answers all inbound external and internal calls in professional manner 'Pages members of the hospital staff via radio, paging system(s) and/or public address systems 'Covers Emergency Operator Station, monitoring alarms and alerts to provide notification and dispatch services to security and emergency on call teams as required by the given situation 'Screens incoming vehicles for hospital entry 'Responsible for distributing Trimet and C-Tran passes, daily parking garage passes, and administering alternative transportation incentive program and maintains staff wait list 'Coordinates vehicle maintenance, employee locker, key, and employee pager distribution 'Creates photo ID badges for employees 'Researches and orders supplies 'Responsible for taking meeting minutes for various committees 'Maintains the Intranet phone directory 'Initiates work requests, and generates reports through computer based software 'Provides relief coverage for the Executive Assistant to the Administrator Knowledge, Skills, and Abilities 'Five years of experience as an Administrative Assistant and/or Switchboard Operator is required 'Proficient in Microsoft Office (Word, Excel, PowerPoint and Outlook) 'Accurately type at minimum of 45 wpm and use ten-key by touch 'Demonstrates proficiency using general office equipment (multi-line telephone system, photocopiers, fax machines, etc) 'Excellent customer service skills 'Demonstrates complex problem-solving skills including the ability to identify common support requests and match with previous solutions 'Demonstrates financial responsibility and accountability through the effective and efficient use of resources in daily procedures, processes, and practices 'Attain Unarmed Oregon Security Certification
