Assume receptionist duties, greet public and refer them to appropriate staff members
Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies for a growing business, placing and expediting orders for supplies, and verifying receipt of supplies.
Order and execute Tuesday Breakfast/Thursday lunch.
Responsible for maintenance of kitchen supplies and area.
Coordinate travel, lodging, and set up meetings for sales team and visiting clients.
Scheduling new employee orientation and building first week’s agenda.
Updating and maintaining company spreadsheets and documents.
Set-up hotel accommodations by negotiate contracts, maintaining contract due dates and address any additional needed concerns with hotel POC.
Sending out calendar reminders for events, coordinating catering for meet ups and events.
Supports senior executive staff by creating and maintaining expense reports for SVP and GM.
Initiate Parking and other transportation for new employees and maintain monthly spreadsheet log.
Complete routine reports for Account Managers/Sales Managers from within IDS System.
Answer inbound calls, filing and data entry.
Provide backup support for 1stand 3rdparty efforts during peak seasons.
Schedule and direct maintenance staff while also coordinating building staff.
Assist with overflow work from other administrative staff when needed.
Other duties as assigned.
Reports to General Manager.
Strong written and verbal communication skills
High proficiency with Microsoft Office software (Outlook, Word, Excel, PowerPoint)
Requires strong computer and Internet research skills, flexibility, and excellent interpersonal skills.
Experience working with sensitive matter may be required.
Must be self-sufficient, creative thinker, and can multi-task.
Knowledge of general office machines and telephone system.
Requires 0 – 3 year working in an Administrative role or equivalent work experience.
Requires Associates degree or equivalent work experience.
