OfficeTeam is seeking an Administrative Coordinator for a community management firm in SE Portland. In this position, you'll support the community management team by answering and directing calls, assist with mailing letters, taking meeting notes, corresponding with clients via email, letter and phone, managing work orders, and general clerical duties as assigned. The ideal candidate will have excellent phone etiquette, extensive customer service experience, and the ability to multitask in a fast paced environment. Your responsibilities:

  • Data entry, filing, word processing, scanning, and faxing

  • Directing telephone calls and managing a multi line phone system

  • Reviewing and modifying documents

  • Advance diverse projects for other employees as assigned

  • Coordinating appointments in relation to work orders

  • Placing orders for supplies and services, and tracking progress and results

  • Addressing and directing visitors

  • Manage mail and email distribution and correspondence

  • Taking notes for staff meetings


  • Applicant must be familiar with word processing, spreadsheets and presentation software, as well as databases and customer database systems

  • Experience with Microsoft Outlook

  • Proven knowledge of customer service

  • Experience drafting correspondence

  • Microsoft Excel experience

  • Strong familiarity with Bulk Mailings

  • Well-founded grasp of Work Orders

  • General familiarity with data entry and ability to type 60 wpm

  • Answering Inbound Calls experience

  • Internet research skills

  • Outstanding data entry skills

  • Excellent written, verbal and social communication skills

  • Attention to detail and proven ability to follow standard procedures is a requirement

  • 1+ years of administrative support experience
