General Description of Work

The Marketing Project Coordinator is responsible for coordinating project completion across multiple people and functions at Portland Rescue Mission. This is a great opportunity to work at the core of an excellent, Christ-centered ministry that is serving thousands of people in need every year in Portland.

This position specializes in tracking and advancing projects across the Marketing spectrum to assure they are completed efficiently and in a timely manner. This is a detail-oriented position involving actively tracking project status and next steps in close coordination with the Director of Marketing, actively liaising with a broad range of staff, residents and suppliers, and actively coordinating certain special events. This position also helps document best processes and practices so they may be repeated and refined over time to deliver even greater impact from limited resources.

Essential Functions

  • Establish basic project tracking processes for an ever-changing portfolio of marketing projects, including direct marketing production and distribution, advertising and telethons, marketing production, special events and internal communications

  • Actively coordinate projects in the portfolio in corporation with the Director of Marketing, including formal weekly planning meetings to work through priorities and challenges

  • Work independently to anticipate, schedule and facilitate completion of projects, including engaging people whose contributions are necessary for timely project completion and success

  • Initiate the procurement process for marketing products and services such as print jobs, signage and direct marketing production.

  • Fearlessly drive toward timely project completion with a high level of responsibility

  • Serve as the initial point of contact for assessing and deploying emerging projects and activities

  • Participate in planning meetings to document and actively manage emerging action plans

  • Serve as the coordinator of special events, instinctively anticipating and facilitating details

  • Routinely capture feedback, procedural improvements and best practices to make similar tasks easier to deliver going forward.

General Functions

  • Routinely track active projects and next steps toward timely completion

  • Anticipate needs, schedules, people and resources, and actively work through challenges

  • Maintain a key projects list and status

  • Liaise with a variety of project participants

  • Quickly and responsibly remove obstacles and improve workflow

  • Step in to ease critical seasonal pinch points in workflow

  • Coordinate planning and arrangements for special events

  • Document feedback, processes and best practices

  • Participate in staff meetings as required

  • Work with Staff Ministry to create a staff culture that engages the service of highly relational, Christ-centered servants

  • Serve a minimum of two hours per week in a direct ministry capacity at one of Portland Rescue Mission’s locations to develop and enhance culture of hospitality

Knowledge, Skills, and Abilities

  • College degree in related field or experience equivalent

  • Familiar with marketing, creative design, and related services

  • Proficient in Microsoft Windows software, especially Word and Excel

  • Experience with project management software such as Basecamp, SmartSheet, and related CRM systems

  • Excellent communication skills, both verbal and written

  • Professional, warm, and friendly demeanor

  • Strong ability to identify and self-manage necessary tasks

  • Advanced organizational abilities

  • High attention to detail and commitment to excellence

  • Demonstrated ability to be a team player

  • Ability to lift at least 50 lbs. unassisted
