TEC Equipment, Inc. Warranty Administrator in Portland, Oregon
Our Leasing Service department in Portland, OR has a full-time opportunity for a Warranty Administrator who will prepare and submit timely warranty claims, along with completing clerical tasks such as organizing and coordinating communications, maintaining data and records management, and completing accounts payable coding.
The Warranty Administrator is responsible for various duties and tasks that ensure the service, lease, and rental department function at peak performance. They assist the service team by processing POs, receiving parts, ordering parts, ordering supplies, processing payables, and other duties as assigned. They assist lease and rental by processing billing, collecting mileages, assisting in fuel tax mileage processing and other duties as assigned.
Schedule: Monday - Friday 7:00AM - 3:30PM.
Managing and Order Parts Inventory
Source Daily / Weekly stock orders for parts below minimum levels.
Receive all parts in to inventory.
Coordinate the order of last minute parts orders with Foreman and Service Advisor
Conduct Monthly Cycle Counts
Reconcile all Parts PO’s
Attach parts to work orders
Participate and coordinate the quarter inventory reconciliation efforts with Corporate
Process Warranty and Policy Claims
Master the Enrich, UCHP, Parts Look Up, and Assist systems to ensure claims are processed without error to maximize claim amounts.
Validate CCC’s follow warranty guidelines to maximize claim amounts and communicate CCC mistakes to foreman so the foreman can council and train technicians
Validate the claims processed by accounting match claims submitted by the branch
Reconcile and review rejected or reduced claim amounts with service manager to develop plans to resubmit lost claims
Processes all vendor payables through the A/P department
Actively work with the parts department to ensure parts are obtained timely and assigned to the correct work order.
Manage and Process all Vendor and Outside Payables
Receive and log all vendor payables
Audit payables to ensure they match vendor agreements
Process invoice and submit to AP
Obtain Approval for any invoice over specific thresholds
Manage Cores and Parts Warranties
Receive Cores into Inventory and track Core credit requests
Manage Cores on hand and dispose of cores when core retention dates have passed
Monitor core credits to ensure credits are not missed
Review parts with 1-year warranty and submit claims for parts warranty to the parts department.
Track 1 year parts guarantee claims as defined in the warranty process above.
Assist in Additional Administrative Duties as Needed
Assist in the collection and reconciliation of fuel tax mileage for lease and rental fleets
Assist in the monthly billing of lease and rental accounts.
Assist the service department with documentation and tracking for key accounting deliveribles
Assist in other duties as assigned.
High school diploma or equivalent.
Plans to obtain a Bachelor’s Degree in Business, Management, or related field is desired but not mandatory.
Minimum two years’ of progressively responsible applicable experience in a professional environment; some warranty experience is required.
Excellent attention to detail and data entry skills; excellent communication skills, oral and written.
Excellent phone etiquette, professional demeanor, and customer service skills.
Intermediate proficiency with Enrich software.
Intermediate proficiency with computer programs and MS Office (Word and Excel).
Experience within heavy-duty trucking industry highly desired.
