The Department of Consumer and Business Services (DCBS) is a progressive business regulatory state agency dedicated to the mission of protecting and serving Oregon's consumers and workers while supporting a positive business climate. The department administers state laws and rules governing workers' compensation, occupational safety and health, financial institutions, insurance companies and building codes. The department has consumer protection and education programs, offices, and ombudsmen to help consumers, injured workers, and businesses.

This position is with the Building Codes Division (BCD). BCD adopts and enforces the statewide building code relating to the construction, reconstruction, alteration and repair of buildings and other structures and the installation of mechanical, plumbing, and electrical devices and equipment.

This position is represented by the American Federation of State, County and Municipal Employees union (AFSCME).

Duties & Responsibilities

The successful candidate will provide confidential organizational, administrative and secretarial support to the Admin/Regional Managers and coordinate organizational and program administrative functions that affect the Admin/Regional section. Duties include confidential management of personnel files, production of correspondence, and maintenance of material used for reporting or budgetary purposes.

Qualifications, Required & Requested Skills

MINIMUM QUALIFICATIONS

  • Three years of clerical/secretarial experience which included:

  • One year at a full performance level performing typing, word processing, or other generating of documents; and

  • Lead work responsibility or coordination of office procedures.

Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial experience. No substitution will be made for the one year at the full performance level.

REQUESTED SKILLS

  • Highly innovative, creative problem-solver with the ability to track multiple tasks and projects, in support of section managers

  • High aptitude for learning new things, detail oriented, and ability to switch priorities or projects seamlessly, while not letting items fall through the cracks

  • Exceptional customer service skills with the desire to constantly improve the customer experience while building bridges among team members, stakeholders, customers and staff

  • The right person for this position will have the skills necessary for contributing to the team's success and have the ability to collaborate with co-workers as needed while working independently at times, constantly prioritizing the work load to meet various deadlines
