The Superintendent's office at the Coffee Creek Correctional Facility (CCCF) located in Wilsonville, OR is actively recruiting for a promotional opportunity to fill their Executive Assistant 2 ( Superintendent's Support) vacancy. This recruitment will be used to establish a list of qualified candidates.

This position is part of the institution management team and is not represented by a union.

As Office Manager, this position ensures the office operates efficiently and in a professional manner. Provides confidential executive support to the Superintendent at the Coffee Creek Correctional Facility in the administration and management of facility operations. Manages internal and external communications ensuring the positive, effective working relationships with other departments, agencies, legislators, Attorney General's Office, criminal justice agencies, etc. Provides project coordination and compliance management for all areas of the institution. Provides office management for the administration section of the institution, including supervision of clerical and accounting positions of the institution.

  • one year of experience performing administrative duties in support of agency projects or programs. Qualifying experience would involve data collection and analysis; project evaluation and/or analysis; interpretation and application of laws, rules, and regulations; or similar experience.

  • Ability to manage multiple high-priority tasks with a heavy workload and competing deadlines and ensure timely completions;

  • Ability to compose and formulate high level correspondence, reports and other written documents;

  • Experience maintaining supervisors' calendars, including accepting/declining and scheduling meetings and travel arrangements;

  • Experience scheduling meetings and resources, including meeting documentation, developing agendas, distributing minutes, logging,tracking and follow-up on assigned projects;

  • Strong organizational skills;

  • LEDS Certified;

  • Strong written and verbal communication skills;

  • Experience proofreading and reviewing documents for punctuation and grammatical errors.
